A quick guide to passwordless login

I’ve been Chief Operating Officer at CloudTech24 for over eight years and have played a key role in its growth from a team of three people in 2018 to a business of 45 and growing today. During that time, we’ve achieved more than 25 times revenue growth while building a reputation for delivering high-quality managed IT and cyber security services.

My career began in sales and IT support before progressing into website hosting, technical pre-sales and leadership. That experience has given me a broad understanding of both the commercial and technical aspects of running a successful technology business.

As Chief Operating Officer for CloudTech24, I lead our operations, technical services and customer experience. I’ve helped shape our technology strategy, securing Microsoft Tier 1 Direct Partner status, Microsoft Modern Work Solutions Partner and Security designations, while maintaining our Google Workspace partnership and introducing new technologies that continue to strengthen our services.

I’m passionate about building high-performing teams, improving the way we work and using automation and AI to help businesses become more efficient, secure and resilient.

In my spare time, I enjoy playing 7-a-side football, keeping up with the latest tech and gadgets, and spending time with my two Maine Coon cats. I’m also a long-time Call of Duty fan, especially from the OG Verdansk and Rebirth Island days.

With mandatory two-step verification (2SV) for all Google Workspace administrator accounts and highly recommended for end-user accounts, it’s more important than ever to make sure you’re able to log in to your Google Workspace account safely.

This blog covers passwordless login – what it is, the different types, and why it’s beneficial for your accounts.

What is passwordless login?

Passwordless authentication is exactly what it sounds like: a method of authenticating a user without a password.

It works by replacing passwords with other authentication factors, such as magic links, biometrics or one-time passwords (OTPs).

What are the types of passwordless logins?

Magic links

Magic links are URLs that, when clicked, allow users to log in without a password.

They’re often delivered via email or, occasionally, SMS to the address or phone number associated with your account.

Biometrics

Biometric authentication uses a person’s physical traits, such as fingerprints or facial features.

Because they are tied to a user’s identity and not guessable or crackable, these are much harder to steal than passwords and knowledge-based authentication factors.

Apple Pay and Google Pay use facial recognition or fingerprint authentication to verify users, allowing them to access their accounts without a password.

Using biometrics – specifically with phones – is often seen as the most convenient and secure way of logging into an account without your password.

One-time passcodes

One-time passcodes are similar to magic links, but instead of receiving a link, you receive a generated combination of numbers and/or letters. These are sent to you via email or text message, allowing you to log in by entering the passcode instead of your password.

Companies like Amazon send a one-time passcode to a user’s email or phone.

What are the benefits of passwordless login?

Improved security

Passwordless authentication is more secure than traditional, password-based authentication, as it eliminates the risks you typically have with passwords (such as weak or compromised passwords)

Passwords are the weakest link in a security chain because they rely on users creating them, and the majority of people typically don’t have cybersecurity in mind.

After all, most data breaches are due to human error.

By going passwordless, you significantly reduce the risk of cyberattacks, such as brute-force attacks.

Better user experience

With passwordless login, there’s no need to remember multiple passwords, making it easy to log in to your account. With convenient methods like biometrics, your login couldn’t be simpler.

Because it’s much easier to access your account without the use of your password, you’ll also experience fewer lockouts, meaning less frustration for both yourself and your IT team.

A final thought

Passwordless login is the present and the future of secure access to your accounts

By using these methods, not just in Google Workspace, but in all your platforms,  users can move beyond the vulnerabilities and frustrations of traditional passwords.

This shift not only hardens your organisational security against common threats but also delivers a smoother, faster login experience for every user.

For any modern business using Google Workspace, moving to passwordless authentication isn’t just an option. It’s a critical next step in a much more user-friendly security strategy.

What is a virtual CISO (vCISO)?

Cybersecurity issues don’t pop up one at a time. They’re often frequent, urgent, and complex. When issues build up and the level of complexity increases to the point where your team needs an extra hand, having a vCISO can lighten the load. A vCISO (Virtual Chief Information Security Officer) is a security leader who serves…

Which one is better – AWS, Azure, or Google Cloud?

Choosing the right cloud infrastructure is a decision you can’t take lightly. Today, businesses must decide whether to build their applications on AWS, Azure, or Google Cloud. While these platforms offer similar core features like storage and computing power, each vendor approaches infrastructure, security, and developer experience with a completely different philosophy. The role of ethical hacking in penetration testing
