How do I remove a Google license?

Google Workspace management is a crucial admin task for businesses that use it, and with most users needing access to Gmail, Drive, and other Google Workspace services, keeping on top of your licenses and staff can be tricky.

As staff move on or change roles, you might need to remove a Google Workspace license, and it’s important to know how to do this without losing access to important data.

In this guide, we’ll walk through the steps to remove licenses for individual users, scale the process for larger teams, and navigate the complexities of reducing seats on different subscription plans.

How to remove a Google Workspace license for a single user

To remove a license from a specific individual without deleting their entire account, start by logging in to the Google Admin console and going to users.

Select the specific user’s name to open their profile settings.

Scroll down to the licenses section and click the pencil icon to edit, and from here you can uncheck the license you wish to remove.

Keep in mind that removing a license will restrict the user’s access to services like Gmail and Drive, but their data will remain intact in the console for a grace period.

How to remove licenses in bulk

For larger organisations, manual removal can turn into an all-day job. For bulk actions, go to the users list, select multiple users using the checkboxes, and remove them all at once.

If that still takes too long, Google supports CSV uploads.

Download your user list, modify the “New Licenses” column to reflect the removal, and re-upload the file to process hundreds of changes simultaneously.

Removing seats on an annual plan

Reducing your total seat count on a fixed-term/annual plan is more restrictive than on a flexible plan.

Under this plan, you commit to a minimum number of licenses for the year, which you can only reduce once there’s a renewal period.

To prepare for this, go to subscriptions, select your plan, and look for renewal settings.

You can set your “renewal commitment” to a lower number of seats, which will take effect once the current contract term ends.

Important considerations before removing licenses

Before you hit “remove,” remember that license removal is not the same as data backup.

Stripping or disabling a license immediately cuts off access to Gmail and Vault. Before offboarding, protect your company data by transferring Drive ownership to a supervisor or running a Google Takeout backup

Check for ‘add-on’ services before you start. If a user has something like Google Voice, it acts as a lock on their account. You need to cancel any additional services you might be subscribed to first.

Otherwise, your attempt to remove the Workspace license will run into an error.

Mastering Google Workspace license management ensures you only pay for what you actually use.

Regularly auditing your “Suspended” users and setting renewal alerts are the best ways to stay ahead. 

Audit your Admin Console and reclaim those unused seats.
